Automatic Indexing
An Azure AI Search indexer crawls SharePoint every 3 hours. Documents are split into chunks, embedded as 3072 dimensional vectors, and stored in the search index.
Employee Asks a Question
The employee types a natural language question in the ODP bot inside Microsoft Teams. No training required.
Hybrid Retrieval
The backend performs vector similarity search combined with semantic re-ranking to retrieve the top 5 most relevant document chunks.
Grounded Answer Generation
The retrieved chunks are passed to GPT-4.1 with strict grounding instructions. The model generates a clear, specific answer using only the provided context. Temperature is set to 0.0.
Cited Response Delivered
The answer is returned as a rich Adaptive Card in Teams, including links to the original source documents in SharePoint.
Feedback Captured
The employee can give a thumbs up or down with optional text. Feedback is stored, LLM categorised, and available to admins in a built-in analytics dashboard.
